1. บทนำ

jnAcc เป็นซอฟต์แวร์บัญชีภาษีหัก ณ ที่จ่าย (WHT) สำหรับธุรกิจในประเทศไทย พัฒนาและให้บริการโดยบริษัท เจมส์นิค จำกัด (“บริษัท”, “เรา”, “ของเรา”) ภายใต้ TaxHub SaaS นโยบายนี้อธิบายวิธีที่เราเก็บรวบรวม ใช้ และปกป้องข้อมูลส่วนบุคคลของผู้ใช้งาน

2. ข้อมูลที่เราเก็บรวบรวม

• ข้อมูลบัญชีผู้ใช้: ชื่อ, อีเมล, และข้อมูลองค์กรที่ได้รับผ่าน Clerk (ผู้ให้บริการระบบยืนยันตัวตน)
• ข้อมูลบริษัท: ชื่อบริษัท, เลขประจำตัวผู้เสียภาษี, ที่อยู่, ข้อมูลติดต่อ
• ข้อมูล WHT: รายการภาษีหัก ณ ที่จ่าย, ข้อมูลผู้รับเงิน (payee), จำนวนเงิน, วันที่

3. การส่งอีเมลผ่าน Google Workspace ขององค์กร (Domain-Wide Delegation)

jnAcc ส่งใบรับรองภาษีหัก ณ ที่จ่าย (WHT Certificate) ในรูปแบบ PDF ให้แก่ผู้รับเงิน (payee) ทางอีเมล ผ่านกลไก Google Workspace Domain-Wide Delegation (DWD) — ซึ่งต่างจากการเชื่อมต่อ Gmail แบบเดิมที่ผู้ใช้แต่ละคนต้องกด “เชื่อมต่อ” และยินยอมผ่านหน้าจอ OAuth ของ Google ด้วยตนเอง กลไกนี้ทำงานที่ระดับองค์กร (firm) ไม่ใช่ระดับบุคคล: ผู้ดูแลระบบ Google Workspace ขององค์กรลูกค้าเอง เป็นผู้อนุมัติสิทธิ์ให้ jnAcc (ผ่าน Service Account กลางตัวหนึ่งของ jnAcc/jnTask) ครั้งเดียวใน Admin Console ขององค์กรของตนเอง (admin.google.com) ฟีเจอร์นี้เป็นทางเลือก (ไม่บังคับ) และจะทำงานเฉพาะเมื่อองค์กรลูกค้าได้ทำการอนุมัติขั้นตอนนี้แล้วเท่านั้น

ขอบเขตสิทธิ์ (scope): gmail.send เท่านั้น — เมื่อองค์กรอนุมัติแล้ว jnAcc จะส่งอีเมลใบรับรอง WHT “ในนามพนักงานที่ทำรายการจริง” (ผู้ที่ login อยู่ขณะส่ง) โดยไม่ต้องให้พนักงานคนนั้นกดยินยอมเป็นรายบุคคล — เรายังคงไม่อ่าน ไม่แก้ไข และไม่ลบอีเมลใด ๆ ในกล่องจดหมายของพนักงานทั้งสิ้น เช่นเดียวกับก่อนหน้านี้

การจัดเก็บข้อมูลรับรอง (credentials): ไม่มีการจัดเก็บ Access/Refresh token ต่อผู้ใช้แต่ละคนอีกต่อไป (ต่างจากกลไกเดิม) — สิทธิ์การเข้าถึงมาจาก Service Account กลางของ jnAcc เอง ซึ่งกุญแจส่วนตัว (private key) ถูกเก็บเป็นความลับฝั่งเซิร์ฟเวอร์ ไม่เปิดเผยต่อผู้ใช้หรือ องค์กรใด

การยกเลิก: ผู้ดูแลระบบองค์กรสามารถปิดการใช้งานได้ทันทีจากหน้าตั้งค่าภายใน jnAcc (หยุดส่งอีเมลในฝั่ง jnAcc ทันที) แต่การถอนสิทธิ์ที่ Google โดยสมบูรณ์ ต้องดำเนินการโดยผู้ดูแลระบบ Google Workspace ขององค์กรลูกค้าเอง โดยลบ Client ID ของ jnAcc ออกจาก Domain-wide Delegation ที่ admin.google.com → Security → API Controls → Domain-wide Delegation

jnAcc ไม่เข้าถึง Google Drive, Google Calendar หรือข้อมูล Google อื่นใดนอกเหนือจากที่ระบุข้างต้น การใช้ข้อมูล Google API ของ jnAcc เป็นไปตาม Google API Services User Data Policy รวมถึงข้อกำหนด Limited Use

4. วัตถุประสงค์การใช้ข้อมูล

• ให้บริการระบบบัญชีและภาษีหัก ณ ที่จ่าย
• ส่งเอกสารใบรับรอง WHT ให้ผู้รับเงินผ่านอีเมลของผู้ใช้
• เชื่อมต่อกับ Xero เพื่อ sync ข้อมูลใบแจ้งหนี้
• ปรับปรุงและพัฒนาบริการ

5. การแชร์ข้อมูลกับบุคคลที่สาม

เราไม่ขาย ให้เช่า หรือเปิดเผยข้อมูลส่วนบุคคลให้แก่บุคคลภายนอกเพื่อวัตถุประสงค์ทางการตลาด เราแชร์ข้อมูลเฉพาะกับผู้ให้บริการที่จำเป็น ได้แก่:

• Clerk — ระบบยืนยันตัวตนและจัดการองค์กร
• Google (Gmail API) — สำหรับองค์กรที่ผู้ดูแลระบบ Google Workspace อนุมัติ Domain-Wide Delegation แล้ว เพื่อส่งอีเมลในนามพนักงานที่ทำรายการจริง
• Xero — เมื่อผู้ใช้เลือกเชื่อมต่อ Xero
• Neon (PostgreSQL) — ฐานข้อมูล (ข้อมูลเข้ารหัสและจัดเก็บในภูมิภาค)

6. การรักษาความปลอดภัย

เราใช้มาตรการรักษาความปลอดภัยมาตรฐานอุตสาหกรรม ได้แก่ HTTPS/TLS สำหรับข้อมูลระหว่างส่ง, การเข้ารหัสข้อมูลในฐานข้อมูล, และการจำกัดสิทธิ์การเข้าถึง อย่างไรก็ตาม ไม่มีวิธีการส่งข้อมูลผ่านอินเทอร์เน็ตใดที่ปลอดภัย 100%

7. สิทธิ์ของผู้ใช้

• ขอดู, แก้ไข หรือลบข้อมูลส่วนบุคคลของตนเอง
• ยกเลิก Google Sign-In ของบัญชีตนเองได้ที่ myaccount.google.com/permissions
• สำหรับองค์กรที่เปิดใช้งานการส่งอีเมลผ่าน Google Workspace (ข้อ 3) — ผู้ดูแลระบบ Google Workspace ขององค์กร สามารถถอนสิทธิ์การเข้าถึงทั้งหมดได้ทุกเมื่อที่ admin.google.com (Domain-wide Delegation) โดยไม่ต้องพึ่งพา jnAcc

8. การเก็บรักษาข้อมูล

1. Introduction

jnAcc is a Withholding Tax (WHT) accounting software for businesses in Thailand, developed and operated by Jamesnik Co., Ltd. (“we”, “us”, “our”) under the TaxHub SaaS platform. This policy describes how we collect, use, and protect personal information.

2. Information We Collect

• Account data: Name, email, and organization details received via Clerk (identity provider)
• Company data: Business name, tax ID, address, and contact information
• WHT data: Withholding tax entries, payee details, amounts, and dates

3. Sending Email via Your Organization's Google Workspace (Domain-Wide Delegation)

jnAcc sends WHT Certificate PDFs to payees by email via Google Workspace Domain-Wide Delegation (DWD). This is different from a per-user Gmail connection where each individual employee would click through a Google OAuth consent screen. Instead, this mechanism operates at the organization (firm) level: a customer organization's own Google Workspace administrator authorizes jnAcc (via a single, shared Service Account, also used by jnTask) once, directly in their own Admin Console (admin.google.com). This feature is optional and only becomes active once a customer organization's admin has completed that authorization.

Scope requested: gmail.send only — send-only. Once authorized, jnAcc sends WHT certificate emails as the real employee who is logged in and performing the send, without that employee individually consenting. We still do not read, modify, or delete any messages in any employee's mailbox — unchanged from before.

Credential storage: No per-user access/refresh tokens are stored anymore (unlike the earlier mechanism) — access derives from jnAcc's own central Service Account, whose private key is held as a server-side secret, never exposed to any user or organization.

Disconnecting: An organization admin can disable this immediately from jnAcc's own settings page (stops sending on jnAcc's side right away), but fully revoking access at Google requires that organization's own Google Workspace admin to remove jnAcc's Client ID from Domain-wide Delegation at admin.google.com → Security → API Controls → Domain-wide Delegation.

jnAcc does not access Google Drive, Google Calendar, or any other Google data beyond what is described above. jnAcc's use of Google API Services adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. How We Use Your Information

• Provide WHT accounting and tax services
• Send WHT certificate PDFs to payees using the user's Gmail account
• Sync invoice data with Xero when connected
• Improve and develop the service

5. Third-Party Sharing

We do not sell or rent personal data. We share data only with the following service providers:

• Clerk — Authentication and organization management
• Google (Gmail API) — For organizations whose Google Workspace admin has authorized Domain-Wide Delegation, to send emails as the employee who performed the action
• Xero — When the user opts to connect Xero
• Neon (PostgreSQL) — Encrypted database storage

6. Security

We use industry-standard security measures including HTTPS/TLS, encrypted storage, and access controls. No method of transmission over the internet is 100% secure.

7. Your Rights

• Request access to, correction of, or deletion of your personal data
• Revoke your own Google Sign-In access at myaccount.google.com/permissions
• For organizations using the Google Workspace email integration (Section 3) — the organization's Google Workspace administrator can revoke all access at any time at admin.google.com (Domain-wide Delegation), independently of jnAcc
• Request full account and data deletion at [email protected]

8. Data Retention

We retain data while an account is active or until deletion is requested. We no longer store per-user Gmail refresh tokens (see Section 3).
